Veneer Packing Lists: Bundle Labels and Batch Traceability

A useful veneer packing list connects each physical bundle to an order line, an agreed quantity unit and a traceable batch reference. Before shipment, ask how the bundle labels and packing list will match. At receipt, keep those references with your inspection record so a question about one bundle does not become a question about the entire shipment.

This guide focuses on document matching and receiving records. It does not set a universal packaging method, moisture limit or inspection sampling rate. Agree those details for the actual material, handling conditions and order.

What should a veneer packing list identify?

FieldWhat to confirmWhy it matters
Order and item referencePurchase-order number and the matching line itemKeeps different products or specifications separate
Bundle identifierA distinct label for each bundle or agreed handling unitLinks the physical material to the document
Material and grade referenceThe agreed product name and written grade specificationAvoids relying on an unexplained grade letter
Dimensions and quantity unitOrdered dimensions; whether quantity is sheets, area or another agreed unitPrevents comparing unlike totals
Batch or lot referenceThe reference used to group material and inspection recordsSupports follow-up on a specific group
Totals and exceptionsBundle count, item totals and any agreed split or adjustmentMakes reconciliation possible before dispatch

Use the same spelling and units on the order, label and packing list. If different systems use different references, include a clear cross-reference rather than assuming the receiving team knows they are equivalent.

Keep quantity units separate

A sheet count, a bundle count and an area total answer different questions. Ask the supplier to state the unit beside every quantity. Where area is calculated from sheet dimensions, agree which dimensions and rounding rule are used and how mixed sizes are listed. Do not derive a shipment total from a photograph or assume every bundle contains the same number of sheets.

For example, a receiving record can have separate columns for bundles received and sheets checked. The first documents handling units; the second records the scope of your count. Mark any unchecked quantity as unverified rather than converting a partial check into a full-shipment confirmation.

Make bundle labels readable and consistent

Request labels that can be matched to the packing list during the intended handling process. Agree the label position and whether duplicate references are needed where packaging may obscure one side. A simple identifier is useful only when it is legible and unique within the shipment.

The example below uses A01, L01 and 100 sheets solely to explain a label layout. They are not an actual order, a standard bundle quantity or a Zhide packing commitment. The final label format and information should be confirmed for each order.

Reconcile records before material enters production

  1. Save the packing-list version received with the shipment and record the arrival date.

  2. Compare physical bundle identifiers and bundle counts with the document.

  3. Record visible packaging condition and photograph any mismatch with the relevant label visible.

  4. Carry out the agreed sheet-count and quality checks, recording their actual scope.

  5. Keep unresolved bundles identifiable and request clarification before mixing them into production stock.

A matching label supports identification; it does not prove grade, dimensions or condition. Use the agreed acceptance criteria for those checks. For a material-specific example, see our birch veneer incoming-inspection checklist. Its grade definitions should not be applied automatically to other veneer species.

What to send when a quantity or label does not match

Send the order reference, packing-list version, affected bundle identifiers, the quantity unit and the difference observed. Include a full-bundle photograph and a close view of the label. State whether the issue concerns the document, a label, your count or material condition. Keep the original record and add a dated correction if the parties agree a revision.

For mixed materials, separate the records by product and agreed specification. Our veneer range includes material-specific pages such as Mersawa veneer and MLH veneer. A product page provides a starting reference; the order confirmation should define the actual shipment requirements.

Frequently asked questions

Is a packing list an inspection certificate?

No. It describes the shipment and quantities recorded on the document. Inspection scope, methods and results need their own agreed records.

Should every bundle contain the same number of sheets?

Do not assume so. Ask for the actual bundle-level quantity breakdown and confirm how any variation is documented.

What should I include in a packing inquiry?

Send the veneer type, agreed grade reference, dimensions, quantity and unit, destination, handling needs and the label information your receiving team requires.

Contact Zhide about your veneer order and ask to confirm packing and traceability details before dispatch. Packing method, quantity per bundle and commercial terms are order-specific.
